Privacy Policy

Last updated: July 15, 2026 · tebIQ is a product of TebScribe LLC (“tebIQ,” “we,” “us”).

tebIQ is a clinical documentation tool for licensed healthcare professionals. This policy explains what we collect, how dictation and AI processing work, and the choices you have.

The short version

• On the free tier, dictation is transcribed on your device — your audio is not sent to us or any third party.
• We do not sell your data and do not use it for advertising.
• Saved notes and account data are encrypted in transit and at rest.
• You can secure the app with Face ID / Touch ID, and you can request deletion of your data at any time.

1. Information we collect

• Account information. Email and authentication credentials, managed through our identity provider (Amazon Cognito); organization/tenant and role, if applicable.
• Content you create. Dictation audio (see processing below), transcripts, clinical notes, images you choose to capture (e.g., EKGs, X-rays), and your edits.
• Usage and device data. App version, device type/OS, crash and diagnostic logs, and feature/usage metering.
• Website analytics (public pages only). On our public marketing pages at tebiq.com we count page views on our own servers. Each count records only: which page template was viewed (never the full address or anything typed into it), a coarse country code supplied by our content-delivery network, a broad device category (e.g. “desktop”), and which site referred you (bucketed to a short fixed list, e.g. “google”). We set no cookies, use no third-party analytics or advertising services, store no IP address, and create no visitor identifier — the counts cannot be linked to you or to each other. We do not do this inside the signed-in tebIQ application.
• We do not collect payment card numbers (handled by Apple, Google, or our payment processor) and we do not collect precise or device location, and we do not track you across other websites or apps.

2. How dictation and AI processing work

• Free tier / Privacy Mode — on device. Transcription runs locally using on-device speech models. Your audio is not transmitted to us or to third parties. Privacy Mode additionally keeps AI features on-device.
• Premium features — cloud processing. If you use cloud transcription, live streaming, or AI note/consult features, the relevant audio and/or text is sent over an encrypted connection to our speech-to-text provider (Deepgram) and/or AI model provider(s) (Anthropic) to provide the feature. These providers act as our processors under contract and are not permitted to use your content to train their models or for their own purposes.
• We store your saved notes and account data on our infrastructure (Amazon Web Services, us-east-2) to provide the service.

3. How we use information

To provide and operate tebIQ; to transcribe and generate the notes you request; to authenticate you and secure your account; to meter free vs. premium usage and process subscriptions; to provide support; to diagnose crashes and improve reliability; and to comply with law. We do not use your content for advertising or sell it.

4. HIPAA and protected health information

If you are a HIPAA-covered entity or business associate and use tebIQ to create or store protected health information (PHI), a Business Associate Agreement (BAA) must be executed with us before using tebIQ for PHI. Contact legal@tebiq.com to execute a BAA. You are responsible for obtaining any patient consents required by law for recording or documentation.

5. Sharing

We share information only with: (a) the processors above, under contract; (b) your own organization/administrator, if you use tebIQ under an organizational account; (c) as required by law or to protect rights and safety; and (d) in connection with a merger or acquisition, subject to this policy. We do not sell personal information.

6. Data retention and deletion

We retain your content for as long as your account is active or as needed to provide the service. You may request access to or deletion of your data at privacy@tebiq.com, and you can delete your account from within the app. On account deletion we remove your content within 30 days, subject to any per-organization retention settings and legal-hold exceptions.

7. Security

We use encryption in transit (TLS) and encryption at rest for stored content, access controls, and audit logging. On-device data can be protected with device biometrics (Face ID / fingerprint). No system is perfectly secure, but we take measures appropriate to health information.

8. Your choices and rights

Use Privacy Mode / the free tier to keep transcription on-device. Manage biometrics and notifications in Settings. Depending on where you live, you may have rights to access, correct, delete, or port your data, or to object to certain processing (e.g., GDPR/UK GDPR, CCPA/CPRA). Contact privacy@tebiq.com to exercise them. tebIQ is for professional use only; we do not knowingly collect data from children.

9. Changes

We may update this policy as the product evolves; material changes will be reflected by the “last updated” date above.
